General Summary:

Responsible for coordinating and providing administrative support to the CHRO. Performs a variety of high-level administrative duties to assist human resources, legal, compliance, and other key leaders, as needed.

 

Principal Duties & Responsibilities:

  • Provides oversight of all logistical, project, and administrative support to the CHRO, General Counsel, and other key organizational leaders.
  • Prepare and organize sensitive legal, confidential, and strategic materials by creating and configuring information for internal and external communication – memos, emails, presentations, reports, spreadsheets, and graphs.
  • Ensure meetings and materials are efficient and effective.
  • Responsible for establishing and/or maintaining electronic data management of human resources files, legal files, documentation, leadership meeting materials, etc.
  • Manage and maintain complex schedules/calendars.
  • Assist with the coordination of a variety of activities, meetings, events, visitors, etc.
  • Proactive in anticipating the needs of CHRO and other leaders, follow-up, and follow-through to ensure effective resolution.
  • Maximize time by researching, collecting, and analyzing relevant information on behalf of leadership.
  • Coordinate travel arrangements including itinerary, logistics, and expense reporting.
  • Greet / assist team members and guests in a courteous, professional manner (in-person, phone, virtual)
  • Answer HR-related questions, when possible.
  • Performs miscellaneous administrative functions and manage special projects as assigned.

 

Qualifications:

  • Direct hands-on administrative/executive support is required, 5years+ of experience preferred. 
  • Associate Degree in Administrative Assistant or related field preferred.
  • Certified Administrative Professional (CAP) certification preferred.
  • High level of professionalism and confidentiality is required.
  • Excellent administrative skills including computer knowledge with exceptional composition and grammar skills.
  • Technology savvy with above-average skills using the Microsoft Office suite.
  • Excellent time management skills.
  • Effective decision-making skills, as well as good verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent problem-solving skills.
  • A team player who is proactive, flexible, results-oriented and comfortable in a rapidly changing environment.
  • Ability to work independently and under the pressure of deadlines.
