General Summary:

The Recruiting Coordinator supports the recruitment of qualified individuals for corporate (office) positions to meet the immediate, and long-term needs of the company on a timely basis.  Coordinate recruitment activities while ensuring consistent application of company policies and procedures and ensuring positive candidate experience.

 

Principal Duties & Responsibilities:

Primary responsibilities include the following:

  • Schedule phone screens and interviews. Maintain Recruiting calendar and serve as the main point of contact regarding scheduling and rescheduling interviews.
  • Coordinate travel/hotel accommodations and candidate experience set up for traveling/non-local candidates.
    • Develop welcome basket “template”, maintain inventory, and prepare baskets as needed.
    • Maintain and prepare candidate interview packets.
    • Create and distribute interview itineraries for candidates onsite or via Zoom.
  • Serve as back up to recruiters for phone screening and/or sourcing assistance.
  • Manage featured jobs postings on SharePoint.
  • Oversee new hire onboarding process, including:
    • Entering new hire into SuccessFactors Onboarding.
    • Coordinating and communicating new hire orientation attendance at all locations.
    • Sending new hire first day and/or new hire orientation information.
    • Assisting in new hire paperwork and badge photos on day one.
    • Managing inventory and distribute onboarding guides.
    • Completing new hire checklist for corporate new hires.
    • forwarding paperwork for electronic filing system.
  • Assist College Recruiter with:
    • Coordination of college career fair events, including scheduling, accommodations. and outreach to participants as well as preparing collateral and other career fair needs.
    • Coordination of tours, job shadows, and other community requests.
    • Coordinating and maintaining email campaign for former coops and students pre-career fairs.
  • Assists in coordination of corporate recruiting events.

 

Additional responsibilities may include:

  • Assisting recruiters in creating compelling job postings based on recruiter launch notes and job descriptions. Posts in ATS, advertises appropriately.
  • Maintaining the Recruiting@greenheck.com inbox; answering questions and inquiries that come in both internally and externally.
  • Managing job board accounts, such as indeed and LinkedIn, to maximize spend and ensure priority postings are featured.
  • Regularly maintaining ATS needs including:
    • Updating job postings as needed, including reposting or adding advertisements
    • Unposting and closing requisitions
    • Updating hiring competencies post recruiting launch meeting
    • Adding interview schedule into SuccessFactors and ensure Hiring Manager Ratings/notes are entered
    • Uploading resumes from career fairs
    • Assisting with creating and feeding Talent Pools
    • Creating scheduled Talent Community reports and invite to apply as appropriate
  • Coordinating hiring manager interview training (future state)
  • Supporting recruiting related projects as needed

 

Job Qualifications:

  • High school diploma or GED required
  • Post-high school education in an HR discipline preferred
  • 1-2 years of administrative experience in an HR setting
  • Ability to handle multiple priorities
  • Proficiency with Microsoft Office is required
